2. What this policy covers

This policy explains what personal data we collect when you use Invoice Genie (the "Service"), why we process it, how long we keep it and the rights you have under UK GDPR and the Data Protection Act 2018.

3. Data you enter into invoices

The Service is an invoice builder. When you draft an invoice you may enter personal or business data about yourself, your customers, consignees and other trading parties — including names, addresses, email addresses, EORI / VAT / REX numbers, phone numbers and commercial details. You are responsible for ensuring you have a lawful basis to process that data and that you only enter personal data you are authorised to use.

4. Data we collect automatically

• Local browser storage. Draft invoices, your Terms & Conditions acceptance, your Privacy Policy acknowledgement and UI preferences are stored in your browser using localStorage. This data stays on your device unless you explicitly save or export it.
• Server logs. When you use hosted features (for example commodity-code lookups or PDF/CSV generation) our hosting providers automatically record standard technical information such as IP address, browser type, timestamp and the request made, to keep the Service secure and operational.
• Cookies and similar technologies. The Service uses only strictly necessary storage required to deliver the features you request. We do not use advertising cookies or third-party analytics trackers.

5. Why we process your data (lawful bases)

• Performance of a contract — to provide the invoicing, lookup and export features you actively request.
• Legitimate interests — to keep the Service secure, prevent abuse and improve reliability.
• Legal obligation — to keep records we are required by law to retain (for example, tax records once billing is enabled).
• Consent — where we specifically ask for it (for example future marketing communications).

6. Third-party services and international transfers

To provide the Service we use trusted infrastructure and reference-data providers, including our hosting platform, our database and authentication backend, and public tariff APIs (such as the UK Trade Tariff). Some providers may process data outside the UK. Where they do, we rely on UK-approved transfer mechanisms (such as the UK Addendum to the EU Standard Contractual Clauses or adequacy decisions).

7. Retention

Draft invoice data held in your browser stays until you clear it or your browser removes it. Data submitted to our backend is retained only for as long as needed to provide the Service and to meet our legal obligations, after which it is deleted or anonymised.

8. Your rights

Under UK GDPR you have the right to access, rectify, erase or restrict processing of your personal data, to object to processing, and to data portability. To exercise these rights contact contact@invoice-genie.co.uk. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.

9. Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls on our backend and least-privilege access for administrators. No online service can be guaranteed 100% secure.

10. Children

The Service is a business tool and is not directed at children under 16. We do not knowingly collect personal data from children.

11. Changes to this policy

We may update this policy from time to time. If we make material changes we may require you to re-acknowledge the updated policy before continuing to use the Service.
